Frequently Asked Questions
St. Clair College has partnered with Synergy Gateway Inc. to provide you access to Verified - a platform that is used by students at other post-secondary institutions across Ontario for the purpose of digitally collecting placement requirements related to placement(s).
Synergy Gateway Inc will provide support and clearance to help with your required documentation. You will be required to complete an Electronic Requirements Verification (ERV) Review through the Verified platform to receive clearance to begin your clinical placement. You will be provided access to "Verified" via a secure username and password. You will use Verified to:
- Upload your pre-placement requirements documentation for review.
- Book your Electronic Requirements Verification (ERV) service (this is a service that reviews the documents you have uploaded and provides you a status as to your eligibility to begin placements).
- Track your ongoing requirements compliance.
No. Synergy is a mandatory requirement for placement/clinical clearance in some programs at St. Clair College, including programs in the Schools of Nursing, Health Sciences, Community Studies, and Academic Studies. Students in programs that require using Synergy for placement clearance will be provided with this information. The Synergy requirement is also listed on the "Placement" tab on the Program’s webpage.
Each student will receive log-in credentials to access Verified that will be sent to your St. Clair College email account. Please check your inbox, spam and junk mail folders for an email from the "Synergy Help Desk". You will be required to create a new password upon logging in. Be sure to view the video user guides and student guidebook to learn how to use the Verified platform.
Access codes are sent to your St. Clair College E-mail. If it is not in your inbox or has expired, you need to submit a ticket to the Synergy help desk requesting it be sent again.
To log into Verified, please follow the steps below:
- In your web browser (Chrome recommended) go to Verified
- Synergy has emailed you a username and password (check your school email for subject line: "Your Access to the Synergy Gateway Website" received from email address: "helpdesk@synergygateway.com" Please do not respond to this email as it will not be sent to anyone. It is a no-reply email.
- You will be required to use your school email address and password combination sent by Verified by Synergy Gateway to log in.
- Enter your username and password. Click "Login"
Try it out now! Get redirected to the Synergy Gateway.
- Do not copy and paste your username and/or password. Always manually type in the requested information.
- Check to ensure that you have the proper Synergy Gateway information to create your profile.
- Make sure that the username/email you are entering is the email address associated with your Verified account.
- Make sure to enter your password correctly as it is case-sensitive.
- If none of the above applies, utilize the Forgot Password feature in the "Verified" login page to reset your password. Only use the email address associated with your Verified account.
- If you are still having difficulty, open a help desk ticket
It can take multiple days for the Synergy help desk to reply. Submit your prerequisites early to avoid delays in the start of your placement.
Your documents are only reviewed when you book an appointment. Having them uploaded to the website is not enough. If you submit a document after the time your review is scheduled for it will not be processed and you will need to book another appointment for review.
On September 1, 2024, Health Canada announced that all COVID vaccines would be removed from circulation and that a new vaccine is to be released. Until that happens, students should proceed to go through the Synergy process with all their other requirements. If you are missing the COVID vaccine requirements during this period (and meet all other requirements), you will receive a "Conditional Pass". To determine whether you may go out on placement with a "Conditional Pass", please contact your Placement Facilitator.
A conditional pass for Hepatitis B immunity means that you are cleared for placement. If you have placement the following year you likely will need to have completed a vaccine series that you started your first year by the next time you submit documents to Synergy.
A conditional pass for COVID vaccination has been temporarily put in place for students who are unable to meet the COVID vaccination requirements (effective September 1, 2024) until the release of the new vaccination to be issued by Health Canada. Students will be expected to update their documentation (at no further cost) after the vaccine is released. This page will be updated at that time with further information.
Go to the Synergy Support form on this webpage and submit the form indicating that you are unable to apply for a Vulnerable Sector Check because you are under the age of 18 and we will contact you with next steps.
Your review will be completed between 24 and 72 hours after your booking. Submit your prerequisites early to avoid delays to the start of your placement. You will receive an email if you pass. If you fail, you will receive a notification as to what is missing and still required for completion.
Yes, there is a charge for every review booked. It is recommended you submit all your documents at the same time and then book a review to avoid extra fees. Please review your ERV letter for the details of the pay structure.
You are expected to meet your prerequisites throughout your entire placement. You will receive an email that you have a document that is expiring. You need to renew your expired document, submit it to Synergy, and book an appointment for review to continue in your placement. The fee is lower if you do this before your document expires.
The due date is set to ensure you are cleared for placement in time, but you may (and should) submit your documents for review through the Synergy Verified portal after the due date posted on your ERV letter.
